How we answer this question is dependent upon whether your computer has been standardised with Windows 10 or not.
Not Windows 10:
- the person’s name based email account will be deleted
- if the person has a role based email account it will be forwarded to someone else (usually the person who replaced them in that role or temporarily to their manager)
- the person’s dropbox account will be emptied and kept as a spare for new staff
Windows 10:
- a final backup will be performed using crashplan and also using AOMEI backupper
- the person’s name based email account will be deleted. If their manager requires it their email will be backed up and retained for a period of time.
- if the person has a role based email account it will be forwarded to someone else (usually the person who replaced them in that role or temporarily to their manager). If they had separated their role based email and their name based email in their email client then the role based email will be backed up and provided to the person who takes over that role from them. If they did not separate their role based email and their name based email in their email client then all their email will be backed up and provided to the person who takes over that role from them.
- the person’s dropbox account will be emptied and kept as a spare for new staff
- the computer will be reset to the initial state it was in when it was installed so that it is clean and ready for use by a new employee. Note that in this case all data will be erased and all software will be returned to its initial state. This ensures that whoever uses the computer next doesn’t inherit a mess of data and doesn’t inherit any software problems that happened during the previous users’ use of the machine
NOTE: It is essential that IAMtech be notified whenever someone leaves IAM so that all these steps can be properly completed.
